Achieving Success: Best Practices for Open Enrollment

With the 2025 open enrollment season quickly approaching, employers must be prepared as it is a significant period for managing employee benefits that can be stressful for both employers and employees. Effective planning and focusing on key areas can streamline the process, increase engagement, and ensure compliance:

Steps for a Successful Open Enrollment
Review Benefit Offerings  Evaluate all benefits, including medical, dental, and vision. Encourage employees to update emergency contacts and beneficiaries.
Establish Your Timeline  Confirm deadlines with insurance carriers, allowing time to audit elections before submission. Set the enrollment period length, consider plan changes, and meet with your benefits broker to review renewal rates.
Organize Enrollment  Define a clear open enrollment window, update eligibility criteria, and manage any evidence of insurability (EOI) needs. Ensure all plan documentation is available for employees.
Ensure Compliance Review federal and state requirements for benefit notices, such as COBRA, HIPAA, and ERISA. Distribute these to eligible employees on time.
Leverage Technology Use HRIS or benefits platforms to automate reminders, reduce errors, and increase participation. Ensure mobile access for easier employee use. Update and assess your HRIS for a smooth enrollment.
Plan Communication & Support  Offer meetings, webinars, tutorials, or FAQs to explain benefit options and changes and answer employee questions.   Develop clear, accessible communication materials; consider offering tools like plan comparisons or cost estimators. Send communications well in advance, including reminders, benefits overviews, and Q&A sessions to keep employees informed.
Monitor Participation Track participation during the enrollment period and send reminders to those who haven’t completed their elections.
Post-Enrollment Tasks  Coordinate with carriers for timely ID card issuance. Notify employees of their enrollment status and next steps. Update payroll and HR systems with accurate deduction codes and plan information.
Post-Enrollment Review  Gather feedback from employees and stakeholders to identify areas for improvement for the next cycle.
Collaborate with Vendors  Maintain communication with carriers, brokers, and vendors to quickly resolve any issues that arise, like system outages or carrier delays.
